1. The short version
In plain English: your assistant reads your email and calendar so it can work for you. We use your data to provide the assistant, support you, keep the service secure, improve the service, comply with law, and handle paid billing if we enable it. We never sell it, use it for ads, or use it to train shared models, and we never contact your clients on our own. You can request export or deletion through Account Settings or privacy@joycrew.ai.
2. Information we collect
In plain English: your account details, the Google data you connect, your conversations with your assistant, the notes it keeps, and basic site/usage data.
2.1 Account information. Your name, business name, email address, and mobile phone number, provided at signup. JoyCrew does not collect payment card details today, and the free trial requires no payment method. When paid billing launches, payment details will be collected and processed by a third-party payment provider identified at checkout, we will not store full card numbers, and we will update this policy before we begin collecting payment information.
2.2 Connected Google data. With your authorization, JoyCrew accesses Gmail messages in read-only mode and Google Calendar in read and write mode. Gmail access can include message content, metadata, threads, senders, recipients, attachments and timestamps. Calendar access can include event titles, times, attendees, locations, descriptions, and availability or context needed for scheduling.
2.3 Your communications with your assistant. Calls, texts, and emails you exchange with your assistant, including transcripts of voice calls, so it can remember and act on what you tell it.
2.4 Derived memory. The structured notes the service builds to do its job: clients, deals, preferences, dates, commitments, scheduling context, and similar business context drawn from the sources above.
2.5 Information about your clients and contacts. Your connected email, calendar, and instructions naturally include information about other people, such as your clients. We process that information on your behalf and at your direction, solely to provide the service to you. We do not contact your clients on our own initiative. The only messages a client sees are transactional details that you directed. You are responsible for having the right to connect and use the data you provide.
2.6 Usage and technical data. Log data, device and browser information, and basic analytics cookies (including Google Analytics) that help us understand how the website and service are used. As California's CalOPPA requires us to disclose: we do not currently respond to "Do Not Track" browser signals.
2.7 Public reputation check. If you use our public reputation report tool, we collect the search details you submit (such as a professional's name and market) and gather publicly available online information about that professional in order to generate the report. We use this information only to create and deliver the report and to operate the feature. Professionals who are the subject of a report may contact privacy@joycrew.ai with questions.
3. How we use information
In plain English: to run your assistant, support you, keep the service secure, and handle paid billing if enabled. Not for ads. Not for sale. Not to train shared models.
We use your information to: provide and operate the service (briefings, meeting preparation, memory, scheduling, reminders, and answers); provide customer support; handle paid billing if paid billing is enabled; secure, debug, and improve the service; and comply with law. We do not sell your personal information, share it for cross-context behavioral advertising, or use your data to train models shared across customers.
SMS consent. JoyCrew SMS is optional and only for the account owner. We do not share mobile information and SMS opt-in consent with third parties, affiliates, or lead generators for marketing or promotional purposes.
4. AI processing and subprocessors
In plain English: trusted infrastructure providers help us run the service under contracts that protect your data. None of them may use your data for their own purposes or to train their models.
The service is built on third-party infrastructure providers ("subprocessors") that process data on our behalf under data-protection agreements: Google Cloud (hosting and infrastructure), Anthropic (AI processing), OpenAI (AI processing), Twilio (telephony and text messaging), and AgentMail (email service). Our agreements with AI providers prohibit the use of your data to train their models.
5. Google API Services: Limited Use disclosure
In plain English: Google requires apps that access Gmail to follow strict rules about what they may do with your data. We follow them.
JoyCrew’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. JoyCrew uses Google user data only to provide and improve user-facing assistant features for you, including context, memory, daily prep, meeting prep, scheduling, and answers you request. Google OAuth tokens are encrypted at rest. Gmail and Calendar content may be stored temporarily in encrypted mailbox staging, summarized into capture records, and transformed into assistant memory. Relevant Google data may be processed by model providers and infrastructure subprocessors only to provide those features. We do not sell Google user data, use it for ads, or use it to train shared models. Humans do not read Google user data except with your explicit consent, for support you request, for security or abuse investigation, to comply with law, or after it has been aggregated and de-identified.
6. Data isolation, security, and retention
In plain English: your business runs in its own isolated environment, encrypted. Keep your account and we keep your data working for you; leave and we process export or deletion requests.
Each customer data set is processed and stored in an isolated, per-customer environment, separated from every other customer. Data is encrypted in transit and at rest. Access by our personnel is restricted and logged. We retain your information while your account is active so your assistant can do its job. When you cancel or submit a deletion request, we delete or de-identify account data within 30 days except where retention is required by law, security, fraud prevention, or legitimate business records, with residual copies in encrypted backups purged on the backup cycle. The service is operated from the United States and intended for customers in the United States; your information is processed and stored in the United States. No security is perfect, and we cannot guarantee absolute security. We will notify you of any breach affecting your data as required by law.
7. Your rights and choices
In plain English: request export, request deletion, correct your account information, or disconnect Google anytime.
You may, at any time: request an export of your data, request deletion of your account data and assistant memory, correct your account information, and disconnect your Google account. Disconnecting Google stops future Gmail and Calendar access and revokes or deletes JoyCrew stored Google tokens where possible. It does not automatically delete assistant memory that was already created from prior Google data. To exercise any right, use Account Settings or email privacy@joycrew.ai. California residents have rights under California privacy law, including the rights to know, delete, and correct, and the right not to be discriminated against for exercising them; we extend these rights to all customers. We do not sell or share personal information as those terms are defined under California law.
8. Children
The service is for business use by adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.
9. Changes to this policy
We will post changes here and update the effective date; for material changes we will notify you by email before they take effect.
