1. The short version
In plain English: your assistant reads your email and calendar so it can work for you. We use your data to run your assistant, and for nothing else. We never sell it, never share it across customers, never use it to train shared models, and never contact your clients on our own. You can export or delete everything, anytime.
2. Information we collect
In plain English: your account details, the Google data you connect, your conversations with your assistant, the notes it keeps, and basic site/usage data.
2.1 Account information. Your name, business name, email address, and mobile phone number, provided at signup. Payment details are collected and processed by [PAYMENT PROCESSOR]; we do not store full card numbers.
2.2 Connected Google data. With your authorization: your Gmail messages (read-only) and your Google Calendar (read and write). The read-only Gmail scope means the service can read your mail and cannot send, delete, or alter it. Connecting an inbox gives the service access to all messages in that inbox; we recommend connecting a work address.
2.3 Your communications with your assistant. Calls, texts, and emails you exchange with your assistant, including transcripts of voice calls, so it can remember and act on what you tell it.
2.4 Derived memory. The structured notes the service builds to do its job: clients, deals, preferences, dates, commitments, and similar business context drawn from the sources above.
2.5 Information about your clients and contacts. Your connected email and your instructions naturally include information about other people, such as your clients. We process that information on your behalf and at your direction, solely to provide the service to you. We do not contact your clients on our own initiative, ever; the only messages a client sees are transactional details (such as proposed meeting times) that you directed. You are responsible for having the right to connect and use the data you provide (see Terms, section 6).
2.6 Usage and technical data. Log data, device and browser information, and basic analytics cookies that help us understand how the website and service are used. We honor the legal disclosure obligations of California's CalOPPA: we do not currently respond to “Do Not Track” browser signals.
3. How we use information
In plain English: to run your assistant, support you, bill you, and keep the service secure. Not for ads. Not for sale. Not to train shared models.
We use your information to: provide and operate the service (briefings, meeting preparation, memory, scheduling, reminders, and answers); provide customer support; process payments; secure, debug, and improve the service; and comply with law. We do not sell your personal information, share it for cross-context behavioral advertising, or use your data to train models shared across customers.
4. AI processing and subprocessors
In plain English: trusted infrastructure providers help us run the service under contracts that protect your data. None of them may use your data for their own purposes or to train their models.
The service is built on third-party infrastructure providers ("subprocessors") that process data on our behalf under data-protection agreements: Google Cloud (hosting and infrastructure), Anthropic (language model processing), OpenAI (voice processing), Twilio (telephony and text messaging), AgentMail (the assistant’s email), and [PAYMENT PROCESSOR] (billing). Our agreements with AI providers prohibit the use of your data to train their models. We will keep a current subprocessor list available on request at privacy@joycrew.ai.
5. Google API Services: Limited Use disclosure
In plain English: Google requires apps that access Gmail to follow strict rules about what they may do with your data. We follow them.
JoyCrew’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we use Google user data only to provide and improve user-facing features of the service for you; we do not transfer it except as necessary to provide those features (to the subprocessors above), to comply with law, or with your consent; we do not use it for advertising; and humans do not read it except with your explicit consent, for security or abuse investigation, to comply with law, or where it has been aggregated and de-identified.
6. Data isolation, security, and retention
In plain English: your business runs in its own isolated environment, encrypted. Keep your account and we keep your data working for you; leave and we delete it.
Each customer’s data is processed and stored in an isolated, per-customer environment, separated from every other customer. Data is encrypted in transit and at rest. Access by our personnel is restricted and logged. We retain your information while your account is active so your assistant can do its job. When you cancel, you may export your data; upon cancellation or deletion request we delete your data within 30 days, except where retention is required by law, with residual copies in encrypted backups purged on the backup cycle. No security is perfect, and we cannot guarantee absolute security; we will notify you of any breach affecting your data as required by law.
7. Your rights and choices
In plain English: export it, delete it, correct it, or disconnect Google, anytime. California residents have specific legal rights; we honor them for everyone.
You may, at any time: export your data (including your assistant’s memory) in a portable format; delete your account and data; correct your account information; and disconnect your Google account (which stops further reading of your mail and calendar). California residents have rights under California privacy law, including the rights to know, delete, and correct, and the right not to be discriminated against for exercising them; we extend these rights to all customers. To exercise any right: privacy@joycrew.ai, or your account settings page. We do not sell or share personal information as those terms are defined under California law.
8. Children
The service is for business use by adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.
9. Changes to this policy
We will post changes here and update the effective date; for material changes we will notify you by email before they take effect.
